Welcome to the Buffalo Private Collection Terms & Conditions. These policies are designed to ensure a smooth, transparent, and enjoyable experience for all guests from the moment a reservation is made until departure. By confirming a booking with Buffalo Private Collection, guests acknowledge and accept the terms outlined below. 

General

1. Arrival & Departure

Check-in: from 14:00 Check-out: until 10:00

2. Parking

Free parking available for all guests. No prior reservation required.

3. Pets

Pets are not allowed.

Safety

1. Supervision

  • Children must be under adult supervision at all times.
  • Guests are reminded that the camp is unfenced, and wildlife may move freely through the area at any time, day or night.

2. Parental Responsibility

  • Parents/guardians accept full responsibility for their children’s safety and behaviour.
  • The camp, its staff, and management cannot be held liable for incidents arising from failure to adhere to safety guidelines.

3. Movement Around Camp

  • Walking unaccompanied is strictly prohibited.
  • Guests, including children, must request a staff escort after dark.
  • Access to river areas is strictly forbidden unless accompanied by a guide, due to the presence of crocodiles and other dangerous wildlife.

Rates, Fees & Payments

1. Bookings

At Buffalo Private Collection, payment and cancellation conditions, as well as rate plan inclusions, are clearly displayed during the booking process. Some reservations may be non-refundable. In certain cases, a scheduled payment plan applies as follows:

1.1. Prepayment Schedule

  • At the time of booking: 20% of the total payment is due.
  • 35 days before arrival: the remaining balance to reach 100% payment is due.

Reminders will be sent to the email provided at least 2 days before payment is due. Please ensure payments are made on time, as the lodge reserves the right to cancel any reservation for missed payments.

2. Rates

All rates are quoted in Namibian Dollars and include VAT unless stated otherwise. The lodge reserves the right to change rates without prior notice for future bookings. Guests are responsible for ensuring travel documents, insurance, and necessary permits are in order. Any damages to lodge property caused by guests may be charged to the guest’s account.

3. Rates for Children

  • Children 0 – 5 years accommodated free of charge, sharing with adults on available beds.
  • Children 6 – 12 years accommodated at a discounted percentage of the adult rate, sharing with adults on available beds.
  • Children 13 years and older are chargeable as adults.

4. Return & Refunds

  • 45 – 31 days before travel 25% of the booking cancellation fee
  • 30 – 16 days before travel 50% of the booking cancellation fee
  • 15 – 7 days before travel 75% of the booking cancellation fee
  • 6 – 1 days before travel 90% of the booking cancellation fee
  • No show and cancellation on the day of check-in date 100%
  • Any cancellations before 45 days incur a 10% of the booking administration fee

5. Payment Options

Payment may be made via Visa, MasterCard or by Bank Transfer into the Buffalo Private Collection bank account, the details of which will be provided on request.
